What To Do If Your SQL Query Results Are Limited to 10,000 Records

You may have 10s of 1000s or more records in your GoldMine database.  When using SQL queries to mine that data, you find that GoldMine will only display the first 10,000 results.

That limit is the default in GoldMine; however, we can quickly change that!

First, locate your <<username.ini>> file where your GoldMine is installed.  Here, I’ll go to the “K” drive then GoldMine and find chad.ini, i.e. k:\goldmine\chad.ini.

Open that file using Notepad.  Normally double-clicking on the document will automatically open it using Notepad.  Then, find the [GoldMine] Section.

Add the entry:

SQLQueryLimit=100000 … Change the 100,000 to whatever the maximum number of records you want returned.

Color To Add Meaning To The GoldMine Calendar, An Easy Productivity Enhancer!

When scheduling an activity in GoldMine, you have the option of ‘Color Coding’ the activity.  The activity can be an appointment, call, action, etc.

Schedule Appointment

GoldMine provides 16 different colors, from the default Blue through black, to help you add meaning and importance to your calendar.  Using all 16 colors would be over whelming, but attaching meaning to a few can help you and your company better know what everyone is doing each day.

We use colors like this:

Blue – Standard Out of the Office Appointment
Magenta – In Office Meeting
Red – Important
Green – Out of Office Appointment more than 1 Hour Away (Take into consideration Travel Time)
Yellow – Personal

So when you see my daily calendar looking like this:

Calendar with Colors

We Know:

  • There’s Drive time associated with the first appointment
  • The Second is in the office (Be sure it’s picked up and coffee made!)
  • The Third is a personal item
  • The Fourth is important!

These are just used for an example.  Think about what would make sense for your office and begin using them!

Priorities When Scheduling

Last week was calendar coloring, this week will be priorities…

When scheduling any activity, but this makes the most sense for Next Actions, Calls, and Other Actions, you can give the activity a priority rather than time.

Here’s the standard scheduling window…

GoldMine Scheduling Window

Type an ‘A’, ‘B’, ‘C’ in the Time field… and…

Time Becomes Priority

A prioritized, or timeless, activity shows up on the calendar in the ‘Task’ area.

Calendar

The activities will be listed in alphabetical order according to the Priority/Time field… As first, Bs second, Cs third, etc.

Fantastically Quick Client and Prospect Emailing

Right from GoldMine’s contact window you can send an email to the current record!  Simply click on the word “E-mail”…

GoldMine Screen Shot from the GoldMine Blog

GoldMine will automatically open a new email window where you can compose and send your new email.

Before attempting though, be sure your outgoing mail server (SMTP) and reply address (Your  email address) are filled out in your preferences.  (Edit | Preferences | Internet).  If you are not sure of these settings check with your IT support or internet service provider.

Internet Preferences

Usually this will be all you need to set so just click OK to be done.  However, if your outgoing mail server requires authentication, etc. that can be set under Accounts | Edit | Advanced Options.

Email Advanced Options

If your IT department or ISP says, “No!”…  Check out a service like www.smtp.com which offers very inexpensive outgoing mail ability.

When email is sent from GoldMine it’ll automatically be logged in the History tab – and any reply will still come into your standard mail reader.
